About The Organization

MATS Research aims to find and train talented individuals for what we see as the world’s most urgent and talent-constrained problem: reducing risks from advanced artificial intelligence. Our mission is to maximize the impact and development of emerging researchers through mentorship, guidance, and resources. We believe that ambitious researchers from a variety of backgrounds have the potential to contribute to the fields of AI alignment, control, security, and governance research. Through our research fellowship, we aim to provide the mentorship, financial support, and community necessary to aid this transition.

The operations team at MATS supports a wide variety of organizational functions, from bookkeeping and digital infrastructure to facilities maintenance and human resources. We strive for continuous improvement in the tools and processes we build, as well as attentive and responsive support for the teams and people we are helping.

About the Role

Responsibilities

  • Calendar and meeting management — Own end-to-end scheduling for three senior leaders, including fielding and prioritising meeting requests from internal and external stakeholders, resolving conflicts, and ensuring executives' time is protected and well-allocated. Navigate availability between UK and US West Coast time zones.
  • Accountability and commitment tracking — Proactively monitor executives' responsibilities, deadlines, and follow-up items, flagging upcoming commitments and ensuring nothing falls through the cracks.
  • Daily liaison and briefings — Conduct regular check-ins with each executive to surface urgent team items, relay key updates, and act as a communication bridge between the broader team and senior leadership.
  • Expense management — Process and reconcile expenses on behalf of executives in a timely and accurate manner.
  • Travel coordination — Arrange domestic and international travel, including flights, accommodation, and itineraries, anticipating logistical needs in advance.
  • Project accountability — Track the status of key projects requiring executive sign-off or input, proactively following up to keep work moving forward.
  • Ad hoc executive support — Take on discrete tasks and special projects for executive team members as needs arise, exercising good judgement about prioritisation and confidentiality.

Essential Qualifications and Skills

  • 3+ years of experience in an executive assistant, business partner, chief of staff, or senior administrative role;
  • Demonstrated experience managing complex calendars across multiple time zones;
  • Strong written and verbal communication skills, with an ability to represent senior leaders clearly and professionally;
  • High degree of discretion and judgement when handling confidential information;
  • Experience coordinating international travel and logistics;
  • Ability to manage competing priorities calmly under pressure;
  • Strong alignment with the MATS mission of reducing catastrophic risks from advanced AI.

Desirable Qualifications and Skills

We expect especially strong applicants to have experience in at least one of the following:

  • Supporting C-suite or senior leadership in a fast-paced, mission-driven, or research organisation;
  • Experience working across UK and US teams or time zones;
  • Familiarity with tools such as Notion, Slack, Google Workspace, and expense platforms;
  • Exposure to project coordination or light chief-of-staff responsibilities;
  • Interest in or knowledge of AI safety, alignment, or the broader EA/rationalist ecosystem.

Compensation

Compensation will be £55,000 - £80,000 annually, depending on qualifications and experience.

Working Hours and Location

40 hours per week. Successful candidates can expect to spend most of their time working in-person from our Central Street, London office.
