About the Organization

MATS Research aims to find and train talented individuals for what we see as the world's most urgent and talent-constrained problem: reducing risks from advanced artificial intelligence. Our mission is to maximize the impact and development of emerging researchers through mentorship, guidance, and resources. The operations team at MATS supports a wide variety of organizational functions, from bookkeeping and digital infrastructure to facilities maintenance and human resources. We strive for continuous improvement in the tools and processes we build, as well as attentive and responsive support for the teams and people we are helping.

About the Role

We're looking for an organised, proactive Office Manager to keep our London workspace running smoothly. You'll be the operational backbone of the office — the person who makes sure researchers can focus on their work because everything around them just works. This is a hands-on, varied role with real ownership from day one.

Responsibilities

Office Operations

  • Manage office access, including key card administration and onboarding/offboarding of fellows and staff
  • Oversee WiFi setup and troubleshoot basic connectivity issues in coordination with Fora
  • Lead office improvement projects, from furniture and layout changes to equipment upgrades
  • Handle procurement of office supplies, equipment, and consumables

Fellow Admin & Logistics

  • Support fellow onboarding and day-to-day administrative needs
  • Coordinate logistics for arrivals, departures, and in-programme schedules
  • Act as a first point of contact for fellows with practical or operational queries

Vendor & Relationship Management

  • Own the relationship with Fora, our co-working space provider, including maintenance requests, service queries, and escalations
  • Manage snack and drink deliveries, and daily catering services
  • Coordinate food deliveries and catering for programme events and regular office needs

Space & AV

  • Own meeting room management — bookings, turnaround, and ensuring rooms are always ready
  • Manage AV setup and troubleshoot issues across meeting and event spaces

What We're Looking For

  • Previous experience in office management, operations, or a similar hands-on coordination role
  • Strong organisational skills and attention to detail
  • A proactive, can-do attitude — you spot problems before others notice them
  • Adaptability and willingness to take on varied responsibilities
  • Comfortable managing multiple vendors and relationships simultaneously
  • Experience managing a growing office space
  • Capacity to manage a high volume of concurrent tasks and requests
  • Good communication skills; able to work across a diverse team of researchers and operational staff
  • Familiarity with co-working or managed workspace environments is a plus
  • Service mindset and proactive work ethic; able to identify improvements and take initiative 
  • Alignment with MATS’ mission

Compensation

Compensation will be £55,000 - £80,000 annually, depending on qualifications and experience.

Working Hours and Location

40 hours per week. Successful candidates can expect to spend most of their time working in-person from our Central Street, London office.
